How I use Hoop to run my work life

A quick walkthrough of how Brian, one of Hoop's founders, uses Hoop to stay on top of all the things and to focus on the work that matters most. 🪄

I couldn't get through my work day without Hoop, so here are some best practices to make sure you're getting the most out of Hoop, including how you can use Hoop to help identify and focus on the most important tasks.

Incoming and task groups

On the left, there's a special task group called "Incoming". Think of "Incoming" as an inbox for all of your AI captured tasks. Tasks are automatically captured from Slack, and from meetings that use either Zoom or Google Meet.  Tasks can also be generated from emails that are forwarded to Hoop. With the exception of email, all you have to do is connect your accounts and Hoop takes care of the rest. In Slack, you don't need to do anything special: Hoop will just know when there's a task for you based on language that's used in messages.

You can also create and edit task groups to fit your workflow.  Here, I've created task groups for 'Staging' and 'Today' to help me prioritize.

Task and meeting detail view

If you click into a task or meeting, you can get added detail and context.  For tasks, this includes an AI summary of the task as well as, for tasks generated from meetings, a link to the relevant spot in the transcript that created the task.  

If you click on a meeting object in the app, Hoop provides a summary of the meeting, and breaks out any topics that were discussed - with summaries for each topic.

You're in control (of the bot)

There may be circumstances where you don't want Hoop to attend a meeting on your behalf.  (By default, Hoop attends meetings where you've RSVP'd yes, or where you haven't RSVP'd.)  If you do not want Hoop to attend a meeting, click on the Events button in the top right hand corner, and disable task capture for a particular meeting or for all meetings in a series. You can also type, "bye Hoop" into any meeting chat and the bot will automatically leave. More on how to control permissions for Slack and meetings here.

Prioritizing tasks and using focus mode

At the top of the screen, you can hit the pencil icon next to the 'Focus' button to tell Hoop about what's important to your work.  You can either add text directly, or select from a group of suggested areas (if Hoop has collected enough tasks for you to make suggestions - it usually takes us about eight auto captured tasks to start to understand Importance.)

Once Hoop knows what's Important to you, the app will automatically apply the Improtant label to new and existing tasks.  You can then use the 'Focus' toggle to put the emphasis on those tasks.  You can also toggle Focus off to get the full picture of your work, whenver necessary.
